This currently is my 'magnus opus' it is a very large and complex database that my wife uses to run the local accessible minibus organisation Yate, Sodbury and District Community Transport.
Some of the wide range of functionality built in:-
- Registration of user groups, automatically charging joining fees and annual membership
- Taking of bookings, including automatically generating repeat books, on a weekly, daily, weekday etc. basis between two date,
- Graphical view of all current bookings between two dates, either by vehicle or by date.
- Produce summaries of bookings with no driver / no vehicle or clashes between bookings.
- Produces Invoices at the end of the month catering for three payment structures / increases to charges / cancellation fees / credits etc.
- Non paid invoices are automatically carried forward to next month and a new invoice is automatically generated with the arrears shown.
- Summaries are available for each month of paid and unpaid invoices etc.
- Sequential list of all trips by a vehicle so that the administrator can check that the mileage's are sequential
- Statistics generated by the system for vehicles and drivers to show the number of trips / mileage / types of passengers etc.
- Estimating system available on the log sheets so that the cost of the trip can be predicted when the booking is taken
- Still to be added:-
- End of year roll over
- Vehicle servicing and maintenance records.
Currently there is no manual for the database, but that is my next job. (oh how I hate writing manuals)
Two similar programs are currently being speced out for running a car scheme and a dial-a-ride scheme that are starting later in the year.
The data in the file has been mixed up and personal names etc changed to protect the organisations that use YCT.
The database was developed on a Acorn RiscPc although it runs on a PII 400MHz machine in the office. I have to admit (unfortunately for Acorn fans like myself) that the database runs much faster on the PC than the Acorn but is very useable on both platforms. I have not found any significant problems with the cross platform transfer, with the exception of some pages failing to print on the PC because of memory limitations in the printer.
